About the Role
This is a full-time, entry-level position for someone who is reliable, friendly, and organized and who also enjoys social media, photography, and having a role that touches on a little bit of everything.
You'll be the first face our clients see when they walk in the door, and a key part of our effort to deliver compassionate, clear, and efficient service. In addition to receptionist duties, you’ll contribute to the appearance of the office, help with basic marketing content, and support our small team with general office coordination. If you like variety, creative expression, and being the heartbeat of a growing team, this could be a great fit.
Core Responsibilities
- Reception & Administrative Support (Core Daily Tasks – ~3 hours/day)
- Greet clients warmly and professionally, in English or Spanish
- Scan and manage incoming/outgoing mail daily
- Route calls, emails, and physical mail to the right team members
- Track office supplies and ensure the reception area is tidy
Customer Experience & Client Services
- Be emotionally mature, patient, and neutral in supporting clients (especially in difficult moments)
- Help answer basic questions and escalate concerns appropriately
- Ensure high-touch client visits are smooth and complete
- Promptly and tactfully request feedback from clients
Office Facilities & Visual Presentation
- Review the office daily to ensure cleanliness and organization
- Maintain and update a checklist of maintenance tasks and supplies
- Coordinate light facility upkeep with the team when needed
- Propose improvements to office décor, set up seasonal decorations, and have fun with this!
Marketing Support & Growth Opportunities
- Use our in-house studio gear (training provided) to take photos/videos of the office and staff
- Assist with basic content collection for social media and community engagement
- Potential to appear on camera or help record client testimonials and team features
- Help us bridge the gap between great customer service and great storytelling

- Is fully bilingual in Spanish and English
- Shows up on time, every day, and takes pride in being dependable
- Can remain calm and helpful with clients facing stressful or emotional situations

- Enjoys visual media, social platforms, and using creativity at work
